Sync with Outlook or Google¶
Who can do this
You, for your own calendar, or anyone with Manage Users. Either way, you'll need to sign in to the mailbox itself.
Your BaseCloud calendar can be your Outlook or Google calendar. Connect your mailbox and your calendar comes with it: meetings you make in either place show in both.
Connect it¶
Your calendar comes from your primary address — the one you sign in with. Connect that address's mailbox:
- Open Settings → Users → your name → Email Settings.
- Under Currently viewing, choose your primary address.
- Under Mailbox, click Link Microsoft Email or Link Gmail, and sign in.
See Connect your mailbox for the details. Connecting another address, or a team's shared address, doesn't bring a calendar with it.
What syncs¶
Once it's connected:
- Your existing meetings come in — from the past five years and the next twelve months.
- Changes in Outlook or Google appear in BaseCloud within a minute or so: new meetings, moved ones, canceled ones, and guests' answers.
- Meetings you make or change in BaseCloud go straight to Outlook or Google, and Outlook or Google sends the invitations and updates — so guests see them come from you, as usual.
- Repeating meetings keep the pattern, the occurrences you've moved or canceled, and each guest's answer.
- Deleting a meeting on either side deletes it on the other. Deleting a whole series deletes every meeting in it.
If something you've just changed in Outlook or Google isn't there yet, click Refresh () at the top of the calendar.
What it adds¶
With a connected calendar you can also:
- add a Microsoft Teams or Google Meet link to a meeting — see Online meetings;
- answer invitations from Outlook or Google in BaseCloud, and they're answered there too.
Without a connected calendar¶
The calendar still works on its own. BaseCloud keeps your meetings and emails the invitations itself, with a calendar file guests can add to their own calendar. There are no online meeting links.
If it stops syncing¶
If BaseCloud loses access to your mailbox, the Mailbox section shows Connection Issue and the reason. Click Reconnect and sign in again. See If something goes wrong.
