Billing¶
Who can do this
Anyone with BC Account Access. Without it, Billing isn't in Settings at all.
Settings → Billing is about what your account pays BaseCloud — not what your clients pay you. For that, see Quotes & Invoices.
It has three tabs: Credits, Invoices and Payment Methods.
Credits¶
Credit is money paid in advance for the things BaseCloud charges for as you use them:
- phone calls and phone numbers;
- text messages;
- AI — matching email to clients, and AI steps in your workflows.
The Credit Balance at the top is what you have left. Under Transactions, every top-up and every charge is listed with its date; use All, Credits and Debits to narrow it down.
Buy credit¶
- Type an amount under Top Up Amount.
- Click Buy Credit.
Your default card is charged straight away — there's no second step — and the balance goes up. Each top-up gets an invoice, on the Invoices tab.
You need a card on file first. See Payment methods.
Top up automatically¶
So that you never run out part-way through a busy day:
- Under Auto Top-Up, tick Enable auto top-up.
- Set Balance below — the level that triggers a top-up — and the Top-up amount to buy each time.
- Click Save Settings.
When your balance drops below the level, your default card is charged for the amount. If the charge fails, BaseCloud emails the people who get billing alerts.
Be warned when credit is low¶
Under Low Credit Warning, type a Warning threshold and click away from the box. When your balance drops to that amount, BaseCloud emails a warning. Set it to 0 to switch warnings off.
The warning goes to each user who has Billing & Credit Alerts switched on under their notifications.
Invoices¶
Every invoice BaseCloud has sent your account, newest first, with its Number, Amount, Date and whether it's Paid or Unpaid. Click PDF to download one.
There's nothing to pay here: invoices are charged to your default card.
Payment methods¶
The cards BaseCloud can charge. One is the Default — the one used for your invoices and for credit.
Add a card¶
- Click Add payment method.
- Read the note, tick the box to say BaseCloud may save and charge the card, and continue.
- A secure payment page opens in a new tab. Type the card's details there. A small charge is made to check the card works.
- Come back to BaseCloud and click I've completed it — Refresh.
BaseCloud never sees or stores the card's number — the payment provider does.
Change the default, or remove a card¶
Click the ⋮ on a card:
- Set as default makes it the card that's charged.
- Remove takes it off your account. You can't remove your only working card — add another first.
