Complete workflows you can rebuild in your own account. Each page shows the canvas, every task in order and the exact settings, with the messages written out. Start with the one closest to your business and change the wording.

General

Everyday jobs every business has, whatever it sells.

  • New lead: reply fast and follow up: A website enquiry creates the client, gets an instant reply, lands in the sales Inbox and is chased if nobody moves it on.
  • Quote follow-up: Three days after a quote goes out, check whether it was accepted and follow up if it was not.
  • Payment received: thank you and update: When an invoice is marked paid, thank the client, move them to Paid and leave a record for accounts.
  • Inbound text triage: A text from a customer goes to the person who looks after them; a text from an unknown number goes to the front desk.
  • Account manager handover: When a client gets a new responsible manager, introduce them to the client and give them a handover checklist.
  • Call summaries on the client: After a real conversation, transcribe the recording, summarise it and file the summary and next steps on the client.

Trade & home services

Plumbers, electricians, HVAC, cleaning and other businesses that work on site.

Insurance

Brokers and agencies: renewals and claims.

  • Policy renewal reminders: Thirty days before a policy renews, email the client, brief the broker, and text a reminder if nothing has happened.
  • Claim intake from the website: A claim form becomes a summarised note for the claims handler, an acknowledgement to the client, and an alert for large claims.

Accounting & bookkeeping

Practices that live by deadlines and paperwork.

  • Year-end document chase: A month before year end, ask the client for their documents, then follow up by text and hand over to the accountant.
  • Overdue invoice reminders: Thirty days after an invoice is created, check whether it has been paid and chase it if not.

Finance

Lenders, brokers and financial advisers.

  • Loan application intake: A finance application from the website creates the client, shares applications fairly between advisers and tells both sides what happens next.
  • Annual review invitations: Two weeks before a client’s review date, find open times in the adviser’s calendar and invite the client to pick one.

Real estate

Agencies handling enquiries and viewings.

  • Property portal enquiry routing: An enquiry email from a property portal is read, turned into a client, given to the next agent and answered in minutes.
  • Viewing follow-up: Two hours after a viewing ends, ask the buyer what they thought and remind the agent to call.

Dental & medical practices

Appointments and recalls.

  • Appointment reminders: The day before an appointment, text the patient a reminder and email what to bring.
  • Six-month check-up recall: When a patient’s next check-up is due, invite them to book, and ask reception to phone anyone who has not booked a week later.

IT companies

Managed service providers and support desks.

  • Support email triage: A support email is matched to the customer, rated for urgency, logged as a ticket and acknowledged; urgent ones page the on-call engineer.
  • New customer onboarding: When a customer signs, welcome them, hand each team its set-up task, book the kick-off and check in after two weeks.

Bakeries & food

Orders and repeat custom.

  • Online order to kitchen ticket: An order from the online shop becomes a kitchen ticket, and the customer gets a text when it is time to collect.
  • Celebration cake reminders: A week before a customer’s celebration date, offer to bake for it, then remind them before the ordering cut-off.
